JOB DESCRIPTION

You will be primarily responsible in supporting the Senior Expense Reimbursement Supervisor in developing, implementing and maintaining regional Travel & Expense reimbursement audit process/function in compliance with the global corporate policies and procedures.

The Role

As a subject matter expert, the Expense Reimbursement Supervisor will serve as a go-to person/key reference point for any ER-related processes or issues.

Performance Objectives:

Excellence

  • Fully understand the end-to-end policies and procedures related to ER audit (including deviations and local nuances) and ensure compliance with GAAP, Regulatory, SOX and internal controls.

  • Ability to manage stakeholders during new work transitions, UAT, BAU, etc.

  • Ensure effective and efficient management of the team’s workload / daily operations.

  • Strong technical knowledge to support the process and be in a position to talk through any change to the process, what impact this would imply on the technology.

  • Facilitate P2P calls, as needed.

  • Support the month-end close activities.

  • Preliminary and Final AP Close.

  • Review/approve monthly analysis of AP accrual reports.

  • Serve as the initial reviewer of ER Playbook creation/updates, ensuring that all changes made are valid and accurate before submission to the GSM team.

  • Successfully lead and deliver CI initiatives/special projects, as required.

  • Support internal and external audit engagements.

  • Recognize and communicate potential issues to Senior ER Supervisor as appropriate; suggest viable solutions for improvement.

  • Ability to discuss the end-to-end ER process in a classroom setting.

People

  • Build and manage a high performing team that maintains a strong “client service” focus and culture:

  • Provide timely and effective performance feedback to team members

  • Actively explore learning and development opportunities and other channels/avenues to improve individual competencies.

  • Ensure all work is performed in accordance with targets.

  • Plan and organize work so that Service Level Agreement objectives are realized

  • Plan and define performance goals with Senior ER Supervisor to set overall and team-level performance measures and goals

Clients

  • Foster a “client service” culture and instil a work ethic that includes collaborative thinking.

  • Work in partnership with other GFS teams to ensure compliance with cross-team responsibilities.

  • Serve as an escalation point for process exceptions and ensure that these are signed off by the Senior ER Supervisor, as applicable.

Financial

  • Measure the performance (e.g. through Key Performance Indicators for working capital) and operational processes against goals.

  • Provide input to support definition of / revisions to service measures and service targets.

  • Identify ER process improvement opportunities and best practices.

  • Support the GFS teams in implementing standard processes and continuous improvement efforts.

The Requirements

  • Experience working in finance/accounting; AP/T&E Processing preferred.

  • Oracle (or other ERP platform) Accounts Payable; Oracle iExpense (or other expense reporting tool).

  • Experience in shared services/internal service delivery role desirable.

  • Professional Services (e.g. consulting, auditing, project-based) industry experience preferred.

  • Skilled in customer service interactions/ability to communicate with professional image/customer-focused mind-set through various channels (e.g. phone, e-mail, etc.)

  • Demonstrate expertise in accounting processes, especially travel and expense procedures.

  • Communication and facilitation skills training.

  • Basic project management and process improvement training.

  • Being adaptable to learn new processes, concepts, and skills. .

  • Ability to resolve exceptions and disputes.

  • Ability to work well under pressure and meet deadlines.

  • Demonstrate high degree of interpersonal, coaching facilitation and negotiating skills.

  • Excellent verbal and written communication skills.

  • Ability to be flexible with position duties and scope of work.

  • Strong knowledge of MS Excel.

  • Proficiency in MS Word, Access, and Powerpoint.

  • Associates degree in Accounting, Finance or related field.
