The Role

Carrier Coordinators are senior associates within the NAC and are expected to be “subject matter experts” (SME’s) in the area of carrier payables. They should be a strong analytical team member with conflict/resolution skills, and are expected to have the skills needed to review a business challenge, research thoroughly and resolve the challenge effectively across all parties (Client Manager/NAC Associate/Carrier). During this research, they are expected to mentor other associates in the NAC to educate them on “how” to avoid issues in the future as well as develop skills for advanced research on their own. Carrier Coordinators are expected to be team players, have excellent written and verbal communicators, and to build and maintain relationships with the carriers, intermediaries, and sub-brokers.

A successful candidate has strong organizational skills, as well as analytical skills, ability to multi-task, and resolves escalated issues and must have an extensive knowledge of the carrier payable role and an understanding of the workflow for Agency Bill and Direct bill transactions.

  • Act as a partner to Senior Specialists, providing mentoring as needed to AR/Billing and AP associates (US and Mumbai)

  • Carrier Coordinator will act as Senior Specialist backup ( will be required to understand basics of Senior Specialist job responsibilities)

  • Complete all activities as it relates to statement pay carriers (reconciliation/discrepancy activities/payment to carrier)

  • Support the Field offices, Carriers, Billing, and AR associates as needed to resolve discrepancies and/or challenging accounting issues (i.e. Client Reconciliations/Carrier Reconciliations)

  • Required to act as the point of “escalation” when issues become too complex for less experienced associates to resolve. Proactively supporting the conflict/resolution.

  • Carrier coordinators manage the accounts payable book through review and oversight of payable reports, open activities and carrier cash on account

  • Monthly review of AP report completed by India; should ensure it is completed and do a quarterly review of the AP as a “second set of eyes”

  • Mumbai CP team works basic carrier discrepancies (premium difference/commission difference/Installs off etc.); CC should spot check monthly all discrepancies over 60 days old ensure they are being properly escalated.

  • Mumbai CP team works all “Not Invoiced” discrepancies; CC should review all “Not Invoiced” activities bi-monthly to ensure that items are being escalated properly

  • Mumbai CP team works all basic COA as it comes in; CC should engage with Mumbai CP team on Agency Bill Cash on Account over 60 days to assist in resolution

  • May be asked to regularly analyze activity and trends within the Epic system, relating to carriers, intermediaries, and brokerso identifying possible synergies and process enhancements

  • Spot check payable email accounts (2 times a week)

  • Ensure emails are being handled timely, escalation to ASM if items are aging beyond 3 working days

  • Help answer emails in box as needed (emails that are 5 days or older and have not been worked by the Mumbai operations, with proper communication to leadership and your Mumbai counterpart that support is given)

  • Spot check GL outages and Stale –dated checks (1 time monthly)

  • to ensure that items are being worked and resolved in a timely manner

  • Be aware and knowledgeable of all carrier related office specifics for the agencies that you are assigned

  • May be required to perform Accounts Payable task in systems as needed; must be proficient and capable to perform the following:

  • Carrier Hotline rotation-answer calls and resolve issues

  • Payments/emergency payments

  • complex reconciliations

  • offsets

  • Write-off’s / GL outages / Stale Date Check handling

  • Funds analysis

  • Other payable task as necessary

The Requirements

  • High school education required.

  • Minimum 5 years carrier payable experience preferred.

  • Carrier or Industry knowledge is recommended.

  • Management of work flow and carrier relationships across North America Operations

  • Experience with carrier discrepancy reconciliation and / or carrier payments

  • Strong computer skills – Sagitta, IBS, or EPIC preferred

  • Ability to communicate to off shore associates in respectful and professional manner

  • Strong organizational, written and verbal communication skills

  • Ability to negotiate and influence others

  • Ability to evaluate information against a given standard

  • Ability to prepare, understand, and update written information in work related documents

  • Ability to work under stress and deadlines

  • Customer Service skills, excellent interpersonal skills

  • Knowledge of insurance business and all current related SOX requirements and Willis policies
