The Role

As part of a team of 4, you will provide full administrative support to a team of consultants which will include proactive diary management, expense claims, drafting documents, filing, photocopying, dealing with telephone calls/enquiries, taking messages and assisting in any other administrative related matters, as requested. In addition, you will:

  • Provide administrative support to the wider Leeds team and other areas of the business as required

  • Assist in the preparation and despatch of meeting packs

  • Prepare monthly client invoices

  • Co-ordination of external and internal meetings, booking rooms and equipment, arranging video and telephone conference calls

  • Provide support to the Leeds Office Business Services Team to include assisting on Reception when required

  • Arrange domestic and global travel arrangements including visas, accommodation, management of travel profiles and preparing complex itineraries when required

  • Ensure that documents conform to house style

  • Maintain SharePoint, electronic network and physical filing system

  • Build effective relationships internally and interact with the wider Investment team to support queries addressed to the team

  • Assisting other members of the wider administrative team as and when required

  • Support the team’s adherence to professional excellence standards

The Requirements

  • Excellent one to one and team administrative skills including experience of using MS Word, Excel, PowerPoint and Outlook

  • Ability to organise and prioritise to successfully meet deadlines, often at short notice

  • To be proactive and possess the tenacity to effectively support the senior team members

  • To be able to work alone and make justified decisions on behalf of the senior team members

  • Flexible, adaptable and a good team player with excellent people skills

  • Comfortable following systems and processes, and working together with internal and external administrators

  • Adaptable to changing systems and internal processes

  • Ability to work systematically and methodically

  • Highly organised, monitoring and managing multiple tasks

  • Experience of performing a team administrator role in addition to 1:1 support would be an advantage

  • Excellent oral and written communication skills
