The Role

Responsibilities will include the following:

  • Develop a strong understanding of the Retirement line of business

  • Develop a strong understanding of Pension Administration work flow, timetables and deliverables

  • Work directly with our consultants on a variety of client deliverables

  • Provide advanced level support in the full Microsoft Suite, specifically Word, PowerPoint and Excel

  • Support the development of client documents including presentations, reports, contracts and other written documentation/communication using PowerPoint, Word and Excel

  • Ensure quality control/proofreading/editing

  • Follow and update documentation materials as directed

  • Maintain complete and accurate work papers and audit trails

  • Learn and use Professional Excellence tools and concepts to ensure efficient and quality output/service delivery

  • Moderate filing containing client sensitive information

  • Seek and participate in key learning and development opportunities/maintain steady progress

  • Manage meeting/event coordination and preparation

  • Coordinate scheduling and travel arrangements; expense reporting

  • Participate in team meetings and support the capturing and completion of next steps and action items

  • Support administrative needs of leaders in partnership with other administrative staff

  • Build strong relationships internally and collaborate effectively on cross-functional teams

  • Demonstrate natural ease and effectiveness when dealing with clients/colleagues at all levels

  • Work in a supportive, team-oriented environment

  • Support the collaborative team environment by partnering with other administrative staff through workflow, partnership and teamwork to support all team needs

  • Perform recurring plan administration services and work assignments for clients’ defined benefit plans under the supervision of senior analysts

  • Assist with project work and other ad hoc client support services as requested

  • Perform with guidance from other team members, routine and recurring plan administration tasks for clients’ defined benefit plans (e.g. benefit calculations, annual data updates, benefit statements)

  • Oversee client project administration (including project set-up and contract administration, file maintenance, etc.)

  • Deliver on projects to meet or exceed client expectations

  • Increase efficiency by identifying ways to improve processes

  • Build strong relationships with clients particularly administrative support; serve our clients in a professional and collaborative manner

  • Enter client meeting and sales activity into Client Information System

The Requirements:

  • Strong organizational skills, with proven experience prioritizing work and coordinating several projects at one time

  • Proven ability to work in a team environment

  • Ability to remain calm under pressure and maintain a professional demeanour

  • Strong focus on detail and accuracy of work

  • Ability to take full ownership of assigned work

  • An innate desire to produce high-quality work and earn respect

  • Exceptional problem solving, critical thinking and customer service skills

  • Strong interpersonal and project/time management skills

  • Ability to communicate openly and effectively both verbally and in writing

  • Advanced working knowledge of Microsoft Word, PowerPoint and Excel; Microsoft certification a plus

  • Experience providing administrative support to multiple parties simultaneously

  • Bachelor’s degree preferred
